Bookings And Places
Teams bookings are private organization bookings. They help people reserve internal places and resources.
Bookings
Use the bookings page to review internal bookings. Use the add booking page when you need to create a new private booking.
A booking detail page should show the booking, the related person or team, the time, and the resource or location involved.
Locations
Locations are the private workplaces your organization manages. A location may include spaces, zones, floor plans, and resources.
Use the locations page to review existing locations. Use the add-private location flow to create a private location for internal use.
Resources
Resources are bookable items inside a private organization. They may be desks, rooms, equipment, or another shared item.
Use the add resource flow when you need to make a new resource available for private booking.
Zones And Floor Plans
Zones and floor plans help people understand a location layout. They are useful when a location has many spaces or when users need a visual way to choose where to work.
Expected Result
After setup, members should be able to find the right location or resource and make an internal booking when they have access and availability allows it.
When To Use Another App
If the place is being sold publicly, use Spaces Help. If you are a customer booking from the public marketplace, use Customer Help.
How Private Bookings Work
A private booking connects a person or team to a location, resource, date, and time. It is meant for internal organization use.
Common private booking examples:
- a desk for a workday
- a meeting room for a team meeting
- a shared resource for a project
- a recurring internal schedule when the organization supports it
The booking page should help admins and members understand who is using what and when.
Booking Detail Checklist
When reviewing a booking detail page, check:
- who the booking is for
- which location or resource is reserved
- date and time
- current status
- whether any action is visible
- whether the booking conflicts with the user’s expected schedule
If the booking detail is unclear, use the booking list and the location page as supporting context.
Location Setup Checklist
A private location should be clear enough for members to use without guessing.
Check:
- location name
- address or internal site name
- resources attached to the location
- zones or floor plan information
- whether the location is active or available to the right people
Use names that match what people say in real life. For example, “Auckland Office - Level 4” is easier to understand than “AKL-L4”.
Resource Setup Checklist
A resource should explain what can be booked.
Good resource setup answers:
- What is this resource?
- Where is it?
- Who should use it?
- Does it need capacity, equipment, or special rules?
- Is it available for the right times?
If members keep booking the wrong thing, rename the resource or add clearer location context.
Recurring Private Bookings
Some organizations use recurring bookings. Treat them carefully.
Before creating or changing a recurring booking, check:
- the recurrence pattern
- start and end dates
- which resource is reserved
- who owns the booking
- whether the recurrence should skip holidays or closed days
If the UI does not show enough detail for a recurring case, record it as a support question instead of guessing.
Common Problems
| Problem | What to check |
|---|---|
| A member cannot see a location | Check organization access and whether the location is available to them. |
| A resource is missing from booking | Check the location, resource setup, and availability. |
| A booking shows the wrong person | Open the booking detail and confirm the selected user or team. |
| A recurring booking looks wrong | Check the recurrence settings and whether the current cycle is being shown. |
| A floor plan does not match the resource | Review the location layout and resource naming. |
